About the Role

Reporting to the Vice President, Interior Design, Polygon is seeking a highly organized and detail-oriented Interior Design Administrator to support our Interior Design team. This 13-month contract position is responsible for the successful execution of administrative duties related to Polygon’s Interior Design Studio and project activities.

 

Responsibilities

• Carry out general administrative duties in support of the Interior Design team across multiple active projects.

• Create and administer purchase orders for furnishings, fabrics, wallpaper, lighting and trades, including tracking orders and processing invoices.

• Assist with the preparation and updating of project budgets, expense reports and related documentation.

• Coordinate and schedule home staging, liaising with internal teams, movers, installers and suppliers to ensure timely execution.

• Order finish samples and assemble material boards for office use.

• Procure specified suite finish samples and help coordinate production of colour scheme presentation boards.

• Maintain the Interior Design team calendar; schedule meetings, deliveries and couriers; and compile and distribute weekly meeting minutes as required.

• Track furnishings, artwork and design assets, maintaining accurate inventory logs and photo records.

• Create, update and maintain organized project files, templates and Interior Design documentation.

• Coordinate and maintain the Interior Design material library, working closely with suppliers and product representatives.

 

Requirements

• 1–3 years of administrative experience, preferably within a design, construction or real estate environment.

• Post-secondary education in administration, interior design or a related field is considered an asset.

• Strong organizational skills with the ability to manage multiple priorities and time-sensitive tasks.

• Detail-oriented approach to carrying out responsibilities.

• Proficiency in Microsoft Office (Word, Excel, Outlook).

• Aptitude for working in Adobe InDesign and comfort learning accounts payable systems.

• Creative mindset and a genuine interest in interior design are considered assets.

• Strong written and verbal communication skills.

• Excellent interpersonal skills and the ability to work cooperatively in a team-focused environment.

• Ability to adapt and handle multiple priorities efficiently.

 

Salary range: $52,000 – $58,000 per annum

The compensation range may vary based on the candidate’s years of experience, skills, and qualifications.
